What is an Apostille?

An apostille is a form of authentication or certification accepted in countries which are signatories to the Hague Convention of 1961. An apostille on a document certifies that document for use in another country. It is not required in the United States or Canada, check out the next link to see if an specific country is listed.

Can I make a correction such as changing a misspelled name?

Sometimes, it depends on the state where the certificate is registered and on the information that needs to be corrected. That has an extra cost depending if we have to start a special process; every civil registry has its own rules.

What information do you need to locate my certificate?

At least, we need the name(s) as they appear on the certificate, date and place of the registry or event, and, in the case of birth certificates, the names of both parents. The success and speed of the process of locating a document are in direct relation to the amount of information received: the more the better, especially if the document is an old copy. It is very helpful if you have an old certificate and can fax or email it to us.

Will you refund my money if you can’t locate the certificate?

Yes, we’ll refund your purchase, minus a $25.00 search fee which covers our agent’s expenses in searching and applying for the certificate.

What if you cannot locate the certificate?

In that case, we will contact you to ask for more information, any other record from Mexico, like sibling’s birth certificate, etc., then we proceed with another search. But, if we are not successful, we will offer a reimbursement of your payment minus 25 dollars for administrative and agent expenses or, in some cases, we can obtain an official letter from the civil registry saying they looked for your certificate at their data base and books (this is called a letter of no record, and is a proof that there is no official record or registry available). These letters are available from few states such as Veracruz, Oaxaca, Guerrero, Mexico City, Sonora, Durango and Tamaulipas, and some other states in very particular cases. If you choose to get a No Record Letter, we don’t make the reimbursement.

Can you guarantee that you’ll locate my certificate?

No, we can’t do that, as we do not know what is in the files of the various Civil Registry offices until our agent goes to make the application. Sometimes people don’t have the correct information, sometimes they were told that a document was filed when in fact it wasn’t. There are a variety of reasons why a document can’t be located.

How long does it take to receive the certificate?

It can take from 3 to 15 working days, depending on various aspects, including the information we receive from you. The more information you provide, the fastest we can find your records. The location where the certificate is registered is also important. Some states don’t have electronic data bases and it takes more then 15 days to get documents from them (Oaxaca, Tabasco, Puebla, Veracruz, Campeche, Chiapas, and Morelos). The average processing time is 7-10 days. In any case, we recommend not to set appointments before you get your documents.

How does the process works?

We maintain a network of agents located in every state in Mexico. When a client orders a certificate, we send an agent to the appropriate Civil Registry office to apply for and receive the certificate. The agent then sends the certificate via overnight messenger to our Mexico office located in Ciudad Juarez, across the border from El Paso, Texas. The document is then delivered to our U.S. office located in El Paso, and from there it is shipped to you.

How much does it cost?

We charge $85.00 dollars for the first certified copy, which includes shipment to any location in the United States via Priority Mail second or third day. Additional certified copies are $20.00 each. FedEx shipping is also available $25.00 dollars for FedEx Priority Overnight shipping.

Why can’t I obtain the original certificate?

No one can obtain the original document as it must remain in the files of the Civil Registry. That is the purpose of the certified copy, it’s where the Civil Registrar certifies the information contained in the original record.
